Change Management for the SAP S/4HANA Roll-Out at Klosterfrau

For about three years, the new ERP solution SAP S/4HANA has been on the market. More and more companies are now planning to switch to S/4HANA, which will replace the previous SAP Business Suite. One of the pioneers is our customer, the pharmaceutical company Klosterfrau Healthcare Group. So far, its three German locations have each used different ERP systems. In the future, SAP S/4HANA will be the uniform standard system for everyone. The project with the sounding name #proceed aims at these far-reaching changes and improvements and is intended to accompany the staff, especially all SAP users, on this path.

mgm was commissioned to accompany the introduction of SAP S/4HANA at Klosterfrau with change management and communication. At the start of the project, the mgm consultants have now designed a kick-off event for the 80-member project team consisting of customers, consultants from Allgeier Enterprise Services (SAP implementation) and mgm (Change Management). “The joint kick-off in Hamburg was an initial spark for our newly assembled team. This was extremely important in order to lay a productive foundation for the two years of project work ahead of us”, says Christian Rennefort, project manager at Klosterfrau. The importance of the project for Klosterfrau was emphasized during the kick-off by the presence of the board members Dr. Martin Zügel (CEO), Peter Mattes (CIO), René Flaschker (Marketing and Sales OTC) and Sven Sadewasser (Managing Director & Head of HR International at Klosterfrau Zürich AG).

In addition to the employees of the SAP S/4HANA project team, mgm’s change management consultants focus on the approximately 600 Klosterfrau employees who are currently working with an ERP system. For the employees, the system change is accompanied by further extensive changes: Not only their IT environment is changing, but also many familiar business processes are being standardized across locations. “It quickly became clear to us that we wanted to systematically prepare and support our managers and employees for these changes in order to keep any potential burdens for all the persons concerned and for day-to-day business as low as possible”, emphasizes Christian Rennefort.

For that purpose the mgm consultants first examined the current situation in detail, designed the kick-off event and developed a change management concept that is precisely tailored to the customer’s situation. With this package, Klosterfrau is now entering the next project phase with Allgeier and mgm.
